Information we collect

• Account info (landlord/manager): your name and email via Google sign-in.
• Tenant info: name, email address, and phone number, provided by the property manager or imported from their records.
• Inspection content: photos, videos, written notes, condition ratings, and rooms you document or add.
• Audio: voice notes you record are sent for automatic transcription; we store the resulting text and may store the recording.
• Signatures & approval evidence: when you approve a report we record your typed name, drawn signature, the date and time, your IP address, your device/browser, and — only if you allow it — your device’s location (GPS).
• Photo metadata: capture date and GPS coordinates embedded in photos you upload, where present.
• Technical data: standard server logs and a sign-in session cookie (landlords only).

How we use information

• To create, store, and share move-in, move-out, and mid-lease inspection records and reports.
• To document property condition and provide evidence for security-deposit and lease matters.
• To communicate about inspections (e.g., emailing or texting an inspection link or report).
• To verify that submissions and approvals are genuine (the signing evidence above).

We do not sell your personal information or use it for advertising.

Service providers

We share data only with providers that help operate the App:

• Supabase — database and file storage.
• Vercel — application hosting.
• Google — landlord sign-in.
• OpenAI — transcribing voice notes to text.
• Resend — sending email.
• Twilio — sending text messages.

These providers process data on our behalf under their own security and privacy terms.

Data retention

We keep inspection records, photos, signatures, and related evidence for as long as needed to document the tenancy and resolve potential disputes, and as required by law. You may request deletion of your information by contacting us (subject to our need to retain records for legitimate legal purposes).

Security

Data is stored with access controls and transmitted over encrypted connections. No system is perfectly secure, but we take reasonable measures to protect your information.

Your choices & rights

• Location sharing is optional — you can decline the browser’s location prompt and still approve a report.
• You may request access to, correction of, or deletion of your personal information.

Children

The App is not intended for use by anyone under 18.

Changes

We may update this policy from time to time. Material changes will be reflected by the “Last updated” date above.
